Membership Privacy Notice

The PiXL Club Ltd (Company Registration Number 07321607) will retain personal data such as names and email addresses of relevant members of staff whilst your membership is active so that individuals may be informed of opportunities and developments available through our service. In some situations details may be shared with a person under direct contract with PiXL where the request pertains to an area of their expertise. In this situation we have a data sharing agreement with this party and the data is only shared and used for the purpose of addressing queries.

Data sharing is in accordance with our contract to provide services, the details of which may be found at: https://www.pixl.org.uk/membership

The PiXL Club Ltd will process personal data for the purpose of delivering services as partof your membership and improving educational outcomes for the students in member schools.

Categories of data processed

Personal data such as names and email address are processed as stated above. We may sometimes be required to process special categories of data (such as dietary requirements) to protect the interests of our delegates at conferences.

GDPR Compliance

All data processing will be carried out in accordance with the six principles stipulated by Article 5 of the General Data Protection Regulation. A copy of our policy can be requested from the contact below and can be found via your membership page.

Where data is held and who has access

This data transfer is made securely, only to servers within the EEA.

There is no automated decision-making or profiling associated with the processing of any personal data. Your school, as data controller, will appoint designated members of staff to have oversight of this data and can limit the access of other members of staff.

The PiXL Club Ltd will not share this data with any third parties (except those contracted to work for us) unless legally obliged to do so.

Rights of data subjects

Data subjects have the right to request a copy of all personal data held and they may do so by requesting it from PiXL’s data protection contact below.

You have a right for any of the data we process on your behalf to be deleted, and all data subjects may request deletion of their personal data at any stage.

Should your school cease to be a member of the PiXL Club Ltd, all personal data will be deleted nine months after cancellation.

Event booking Terms and Conditions

All bookings should quote a Purchase Order number. Financial responsibility for bookings without a valid Purchase Order number shall be deemed to lie with the person making the booking.

Once a place on a course is confirmed, payment for that place becomes due. Cancellations may be made up to 1 week prior to the start of the course. After that date payment in full becomes due irrespective of any non-attendance or cancellation by the applicants.

The school may substitute another delegate if an applicant is unable to attend.

Invoices will usually be sent to the applicant’s school after the course has taken place or after the first event date on courses with multiple dates.

If The PiXL Club Ltd has to cancel the course no charge will be made.

The PiXL Club Ltd does not take any responsibility for the cost of transport, subsistence or accommodation associated with attending the course.

A £10 surcharge may be applied if a Purchase Order number was not supplied at or prior to the course taking place and an invoice has to be reissued.

Delegates with special dietary requirements should inform the course administrator well in advance when the course includes food/refreshments.

Courses for pupils:

The PiXL Club Ltd

  • will operate a zero tolerance behaviour policy
  • will hold schools financially responsible for any damage caused by their pupils
  • will require school staff to accompany pupils in a pupil:staff ratio of 10:1 or better
  • will expect pupils to be under the supervision of their accompanying school staff at all times
  • will expect that schools complete appropriate “Out of School” documentation and procedures (as their school/Local Authority policy) in relation to insurance and risk assessments etc.

All members of PiXL staff are entitled to be treated with dignity and respect in their place of work. This means freedom from behaviour by third parties, such as customers/clients or suppliers, that can be interpreted as bullying or harassment or that causes offence and access to redress if such behaviour does arise.  You can download our full Third-party sexual harassment policy statement here.

PiXL Edge Privacy Policy

Purpose and legal basis for processing

The PiXL Club Ltd (Company Registration Number 07321607) will process all student personal data on your school’s behalf and only as determined by you, the data controller, in accordance with our contract with you to provide services, details of which can be found at: https://www.pixl.org.uk/membership . The PiXL Club Ltd will only process personal data for the purpose of improving educational outcomes for the students in member schools.

This data transfer is made securely only to servers within the EEA. Any student personal data will only be accessed by a limited number of PiXL employees, and only for the purpose of supporting schools with the development of the Edge programme.

There is no automated decision-making or profiling associated with the processing of any personal data. Your school, as data controller, will appoint designated members of staff to have oversight of this data and can limit the access of other members of staff.

The PiXL Club Ltd will not share this data with any third parties unless legally obliged to do so.

Rights of data subjects

If students receive an accreditation through this programme (Apprentice, Graduate or Masters) their progress information will be retained:

  • Where a personal email address has been provided for continued access to the account after leaving school, the data will be retained until requested by the student or having not been accessed for a 3 year period.
  • Accounts that do not have a personal email address assigned to them will be deleted 9 months from their last accessed time following the anticipated completion of their thirteenth year of education.

This will allow for progress to be taken with the student between schools during their education and allow them to use the digibadge to evidence their achievements and written self-analysis in the programme to employers or other institutions.

If they have not received an accreditation all personal data will be deleted within 9 months of the anticipated completion of their thirteenth year of education.

You have a right for any of the data we process on your behalf to be deleted, and all data subjects will have the ability to request deletion of their personal data at any stage.
